Millennials for Sustainability LLC (“MFS,” “we,” “our,” or “us”) understands that schedules change and unexpected circumstances occur. At the same time, our training courses, onsite services, instructors, contractors, equipment, materials, travel, and certification resources often require advance scheduling and expenses.
This Refund & Cancellation Policy explains the general rules that apply to purchases, registrations, training courses, appointments, and services booked directly through MFS.
Certain contracts, proposals, government awards, purchase orders, statements of work, memberships, programs, or other written agreements may contain different cancellation or refund terms. When a separate written agreement contains terms that differ from this policy, the terms of that agreement will control.
1. Training Course Registration
Registration for an MFS Safety Training Services course reserves space in a scheduled class and may require MFS to purchase or allocate certification credentials, course materials, instructor time, equipment, facility space, and other resources.
Payment may be required in full or according to the terms stated on the applicable invoice, registration page, proposal, or agreement.
A registration is not considered fully confirmed until required payment or an approved payment arrangement has been received.
2. Cancellation More Than 14 Days Before Training
Unless otherwise stated during registration or in a written agreement, participants or organizations cancelling more than 14 calendar days before the scheduled service or training date may request:
A refund of eligible amounts paid;
A credit toward a future MFS service or training course; or
Transfer to another available training date.
Any nonrefundable third-party charges or expenses already incurred by MFS may be deducted from the refund.
These may include certification fees, digital course access, participant materials, customized supplies, shipping, travel reservations, venue deposits, or other costs purchased specifically for the customer.
3. Cancellation Within 14 Days
Cancellations received within 14 calendar days of the scheduled training, appointment, or service date are subject to a 50% cancellation fee.
Accordingly, 50% of the applicable service amount may be forfeited, and any eligible remaining balance may be refunded or credited according to the circumstances of the booking.
In addition, third-party fees and other nonrecoverable expenses already incurred by MFS may remain nonrefundable.
4. Cancellation Within 48 Hours
Cancellations made within 48 hours of a scheduled service, as well as same-day cancellations, may be considered late cancellations.
Because instructors, contractors, equipment, travel, facilities, and materials may already have been committed, MFS reserves the right to make payments nonrefundable for late cancellations, where this condition was disclosed at booking or included in the applicable agreement.
When reasonably possible, MFS may offer a one-time rescheduling option instead.
5. No-Shows
A participant or client who does not attend a scheduled course, appointment, or service and does not provide appropriate cancellation notice will be considered a no-show.
No-shows are not eligible for a refund.
A new registration and payment may be required to attend another course or reschedule the service.
For group or onsite training, failure of individual participants to attend does not automatically reduce the organization's agreed invoice amount when instructor time, equipment, materials, or certification resources were reserved based on the confirmed participant count.
6. Rescheduling
We would rather help you reschedule than lose your training opportunity altogether.
Requests to reschedule should be submitted as soon as possible.
When space and resources are available, MFS may allow a registration to be transferred to another scheduled course or service date.
Repeated rescheduling, last-minute changes, or changes that result in additional costs may be subject to administrative, material, travel, or rescheduling fees.
Credits issued for rescheduling must be used within the timeframe communicated when the credit is issued.
7. Participant Substitutions
Organizations may request to substitute one participant for another before a scheduled class when permitted by the applicable certification program.
Substitution requests should be made before training whenever possible so participant records and certification information can be updated.
Substitutions may not be possible after online course components, digital materials, certification credentials, or other participant-specific resources have already been assigned.
8. Blended and Online Training
Certain MFS courses may include online or blended-learning components provided through MFS or a third-party training organization.
Once a participant has been assigned, activated, accessed, or begun a digital course, the associated online-learning or certification fee is nonrefundable.
Participants are responsible for completing required online components within applicable deadlines.
Failure to complete required online coursework before an instructor-led skills session may result in the participant being unable to complete the course as scheduled and does not automatically qualify the participant for a refund.
9. Certification Cards and Course Completion
Payment alone does not guarantee certification.
Participants must satisfy the requirements of the applicable training program, which may include:
Attendance;
Required online coursework;
Skills demonstrations;
Participation;
Written or practical assessments; and
Other certification requirements.
A participant who does not successfully satisfy applicable course requirements is not entitled to a refund.
Where permitted by the certification program, MFS may offer remediation, additional practice, or another training opportunity. Additional fees may apply.
10. Unpaid Balances and Certificates
Unless otherwise stated in writing, certificates and applicable course-completion documentation will be withheld until the associated invoice has been paid in full.
Outstanding balances should be resolved within 30 days.
After 30 days, certificates or related documentation may be forfeited where permitted by the applicable certification provider and agreement.
Payment remains due for services already rendered regardless of whether a certificate is ultimately claimed by the participant.
11. Group, Corporate and On-Site Training
Group and onsite services often require additional preparation, including instructor scheduling, equipment transportation, materials, certification fees, facility coordination, and travel.
The customer is responsible for providing an accurate expected participant count by any deadline specified by MFS.
Changes to participant counts may affect pricing.
If fewer participants attend than originally confirmed, the organization may remain responsible for the minimum group charge or contracted amount.
If additional participants are added, additional fees may apply, and MFS cannot guarantee accommodation beyond the agreed class capacity.
Large groups may require additional instructors.
12. Customized Services and Special Orders
Payments associated with customized or specially procured products or services may become nonrefundable once MFS has incurred the associated expense.
Examples may include:
Customized training materials;
Special equipment;
AED or safety-equipment procurement;
Customized printed materials;
Participant-specific certification products;
Special-order supplies;
Venue reservations;
Contractor mobilization;
Travel arrangements; and
Other customer-specific purchases.
Customers will be informed when an applicable purchase or deposit is nonrefundable.
13. Safety Audits and Professional Services
Safety auditing, consulting, administrative services, environmental services, facility services, transportation, construction support, and other professional services may have cancellation terms based on the applicable proposal, statement of work, invoice, or service agreement.
Where MFS or an MFS contractor has already performed work, mobilized personnel, purchased materials, incurred travel expenses, or otherwise begun fulfilling the service, those completed services and incurred expenses are generally not refundable.
14. Deposits
Certain projects, training engagements, group reservations, or professional services may require a deposit.
The applicable proposal, invoice, or agreement will state whether the deposit is refundable and when it becomes nonrefundable.
A deposit may be applied toward instructor scheduling, contractor mobilization, materials, equipment, travel, venue expenses, or other project costs.
Failure to pay a required deposit by the stated deadline may result in the requested date being released.
15. Transportation, Courier, Construction and Contracted Services
Transportation, logistics, medical courier, construction, landscaping, janitorial, environmental, administrative, and other contracted services may require personnel, vehicles, equipment, materials, or subcontractors to be committed in advance.
These services may therefore have project-specific cancellation, mobilization, minimum-service, or termination charges.
Any such requirements will be stated in the applicable quote, contract, purchase order, statement of work, or service agreement.
16. Cancellation by MFS
Occasionally, MFS may need to cancel or reschedule a course or service because of:
Instructor or contractor illness;
Severe weather;
Unsafe conditions;
Facility closure;
Equipment failure;
Insufficient enrollment;
Government restrictions;
Transportation disruptions;
Emergencies; or
Other circumstances beyond our reasonable control.
When MFS cancels a service and cannot provide a reasonable rescheduling option, customers will generally be offered a refund or credit for eligible amounts paid directly to MFS for the cancelled service.
MFS is not responsible for unrelated expenses incurred by participants, such as lost wages, childcare, lodging, transportation, or other personal expenses, except where otherwise required by law or expressly agreed in writing.
17. Severe Weather and Emergencies
MFS prioritizes the safety of participants, instructors, contractors, and clients.
When severe weather or another emergency makes travel or service delivery unsafe, MFS may reschedule the affected service.
Weather-related rescheduling will generally result in a transfer or credit rather than an automatic refund when MFS can reasonably provide the service on another date.
18. Refund Processing
Approved refunds will generally be returned to the original payment method whenever practicable.
Processing times may vary depending on the payment processor, financial institution, or original payment method.
Third-party processing fees may be nonrefundable when the payment processor does not return those fees to MFS and applicable law permits them to be excluded.
MFS will not issue a cash refund for a transaction originally completed through another payment method unless specifically approved.
19. Chargebacks and Payment Disputes
Customers who believe they were charged incorrectly should contact MFS before initiating a payment dispute so that we have an opportunity to investigate and resolve the issue.
Initiating a chargeback does not automatically cancel contractual payment obligations for services that were properly provided.
MFS reserves the right to provide transaction records, registration records, attendance documentation, signed agreements, communications, invoices, and other relevant documentation to a payment processor or financial institution when responding to a payment dispute.
Nothing in this section limits a consumer's lawful rights to dispute an unauthorized or improper charge.
20. Government and Institutional Contracts
Services performed under government contracts, purchase orders, grants, institutional agreements, or other formally negotiated arrangements may be governed by cancellation, termination, payment, and refund provisions established by those agreements.
Where those provisions conflict with this general policy, the applicable contract or agreement controls.
21. Promotional Offers, Discounts and Credits
Promotional discounts have no cash value unless expressly stated otherwise.
Refunds for discounted purchases will not exceed the amount actually paid by the customer.
Credits issued by MFS may be subject to expiration dates or restrictions disclosed when the credit is issued.
22. Exceptions
MFS recognizes that genuine emergencies and extraordinary circumstances occur.
Requests for exceptions may be reviewed individually. Approval of an exception in one circumstance does not modify this policy or require MFS to provide the same exception in future situations.
Nothing in this policy limits refund, cancellation, or consumer rights that cannot legally be waived.
23. How to Request a Cancellation, Rescheduling or Refund
Requests should include the customer's:
Full name;
Organization name, if applicable;
Course, service, or invoice information;
Scheduled service date;
Reason for the request; and
Preferred resolution, such as rescheduling, credit, or refund.
